Merge duplicates and delete a client
Merge two records of the same person, and delete a client from everywhere in Tanero when you need to.
What you will do
Keep one clean record per person, and erase a client completely when they ask or you need to.
Steps
Find duplicates
Ask ORBIT: “Find duplicate records.” ORBIT looks for people with the same email or phone and lists each set. Nothing changes yet.
Merge two records
Tell ORBIT which one to keep: “Merge the two Sarah Chen records and keep the deal.” Notes, tasks, call logs, emails and comments move to the record you keep. Empty fields are filled from the duplicate; nothing already filled in is overwritten. Then the duplicate is removed.
If one record is a client and the other a lead, keep the client: the lead is merged into it.
Delete a client
Use Delete on the record in the CRM, or ask ORBIT: “Delete Omar Haddad completely.” ORBIT asks for your approval before it deletes.
What deleting removes
Deleting a person erases them everywhere in Tanero: the CRM record and its activity, notes, tasks, call logs and recordings, texts, the emails recorded in Tanero, documents, appointments and the calendar events Tanero created, group memberships, Action Center items, and what ORBIT remembered about them. It cannot be undone.
Two things stay on purpose: a do-not-contact choice, so a STOP keeps working, and your own conversations with ORBIT that mention the person.
If the person has two deals, deleting one deal keeps the person and the other deal.
If a delete did not finish
If you see The client was deleted from the CRM, but some of what Tanero kept about them could not be erased yet. Repeat the delete to finish., ask ORBIT to delete them again.
Tips
- Emails in your own Gmail or Outlook mailbox stay there; Tanero does not delete inside your mailbox.
- Unlink in the CRM only removes a link between records. It never deletes the person.
Questions
Can I get a deleted client back?
No. Deleting is permanent.
If I add someone again after deleting them, will they be texted even though they said STOP?
No. Do-not-contact choices are kept on purpose, so a STOP keeps working.
